Napkin guide · Buying decisions

Custom napkin buying guide 2026.

Every custom napkin buying decision reduces to four choices: material, size, print method, and quantity. This guide walks through each — with honest tradeoffs and use-case recommendations from a US napkin manufacturer with 10,000+ printed orders behind it.

Decision 1 — Material (quality tier).

Four material tiers, base to premium. Feel matters more than most buyers realize until they hold both in hand.

Airlaid — premium

Linen-like hand feel. The material real fabric napkin ceremonies get replaced by. Best for: luxury weddings, fine dining reception service, luxury hospitality, yacht programs, private clubs. Where a paper napkin needs to feel like it wasn't paper.

Choose airlaid when: the napkin is on a photographed table, or in a guest's hand during a moment they'll remember.

Doble Punto — premium mid-tier

Embossed textured surface with a substantial hand. Structured, crisp, presentation-forward. Best for: cocktail hours, welcome parties, restaurant dining rooms, brunches, corporate press dinners.

Choose Doble Punto when: you want premium look without premium pricing across a high-volume moment.

3-ply — classic workhorse

Standard multi-layer paper napkin. Reliable, absorbent, quality-consistent. Best for: restaurant bar programs, corporate event volume, wedding late-night bar, recurring hospitality programs.

Choose 3-ply when: the napkin is functional-first and you need to control per-unit cost at volume.

2-ply — practical everyday

Lightweight paper napkin. Fit for purpose in high-turnover casual service. Best for: coffee shops, casual restaurants, food trucks, festival hospitality, after-party bar service.

Choose 2-ply when: volume is high, the moment is casual, and the napkin's main job is functional.

Decision 2 — Size.

Cocktail vs. beverage vs. dinner vs. guest towel. Match to the moment.

Cocktail (3.94 × 3.94 in folded)The workhorse size. Cocktail hours, bar service, dessert, late-night. Most common size we print.
Large cocktail (4.72 × 4.72 in folded)Between cocktail and dinner. Ideal for cocktail hours with heavier passed apps or for hospitality lobby bars.
Beverage napkin (smaller cocktail)Compact version for high-turnover bar programs. Smaller footprint on tray or bar top.
Dinner napkin (larger format)Reception dinner service, seated dinners, banquet catering. Full course-by-course service.
Guest towelBathroom vanity, hand-washing station at events, luxury bathroom amenities.
Kangaroo fold (airlaid specialty)Pre-folded pocket format for placing silverware or menu inserts. Restaurant fine-dining and hotel banquet standard.

Decision 3 — Print method.

Full color digital vs. hot-stamp Pantone foil. Different look, different price, different lead time.

Full color (CMYK digital)

Best for illustrations, photography, gradient brand marks.

Digital 4-color process printing. Any color, any complexity, any illustration. Fastest turnaround, most flexible, mid-tier price. Choose when your artwork has gradients, multiple colors, or photography-style detail.

Watch out for: subtle color shifts vs. screen preview. Always request a paid sample pack to verify color reproduction on your specific quality tier.

Deluxe hot-stamp foil (37 Pantone colors)

Best for logos, monograms, single-color brand marks.

Metallic gold, silver, holographic, pigmented matte, and 33 additional Pantone-matched foil colors. Adds tactile depth — you can feel the foil impression on airlaid. Premium look, longer lead time, higher price.

Max hot stamp print area: 2.75 × 2.75 in. Best for logos and monograms, not full-bleed patterns.

Choose hot-stamp foil when: the napkin is a photographed premium moment (wedding, luxury hospitality, private club) or when your brand identity is defined by a specific metallic or Pantone-matched color.

Decision 4 — Quantity.

Unit price drops significantly at volume. Rough tiers below.

Boutique (50-500 units)Small weddings, intimate dinners, boutique press events. Higher per-unit price. Great use case for airlaid — the volume is small so premium material fits budget.
Event standard (500-5,000 units)Standard wedding cocktail hour, corporate launch, mid-size hospitality event. Sweet spot for Doble Punto or 3-ply.
Program volume (5,000-50,000 units)Restaurant quarterly reorder, hotel property program, multi-day festival hospitality. 3-ply is most common at this volume.
Hospitality bulk (50,000-500,000 units)Multi-property hotel group, restaurant chain, national F&B program. Recurring cadence, artwork on file.
Enterprise (500,000-1M+ units)National airline, cruise line, fast-casual chain, multi-brand hospitality group. Custom production scheduling.
MOQ (minimum order)50 units. This is genuinely the floor — smaller quantities are not economical to set up on our equipment.

The paid sample pack step (almost always worth it).

Before committing to 5,000+ units or a recurring program, order a paid sample pack with YOUR artwork on every quality tier.

Why paid, not free

Free samples elsewhere are pre-printed stock.

A paid sample pack prints your actual logo, monogram, or artwork on real airlaid, Doble Punto, 3-ply, and 2-ply napkins — so you're deciding on the real product, not a generic swatch. It's a small upfront cost that de-risks large recurring or event orders.

Especially worth it when:

  • Ordering 5,000+ units (small % of total spend for confidence)
  • Starting a recurring hospitality program
  • Comparing quality tiers before a wedding
  • Verifying Pantone match on foil
  • Getting internal stakeholder sign-off before mass production

Common buying mistakes.

The recurring patterns we see across 10,000+ orders. Avoid these and your first order lands cleanly.

Underestimating cocktail hour quantityPlanners default to 2 napkins per guest. Reality is 3-4 — see the quantity guide.
Wrong material for the momentAirlaid at a festival bar is wasted budget; 2-ply at a luxury wedding reception is a photograph disaster. Match tier to moment.
Ordering too tight to event dateStandard turnaround is 12 business days from artwork approval. Add shipping. Order 3-4 weeks out to avoid rush surcharge.
Skipping the sample pack for 10k+ ordersA $200-400 sample pack investment on a $8,000 order is 3-5% for total color/quality confidence.
Assuming CMYK matches Pantone perfectlyDigital CMYK will never perfectly match a Pantone. If brand color is critical, use hot-stamp foil.
Ordering multiple SKUs as separate ordersCocktail + dinner in one order saves setup fees vs. two separate orders.

Buying guide FAQ.

Common questions before your first custom napkin order.

Airlaid vs. Doble Punto — which is better?

Different tools. Airlaid has a linen-like hand feel — best for photographed premium moments (wedding reception, fine dining, luxury hospitality). Doble Punto has an embossed texture and substantial hand — best for cocktail hours, welcome parties, corporate dinners. Airlaid is more expensive; Doble Punto stretches budget across higher-volume moments.

Full color or foil stamp — which is right for my logo?

Full color CMYK is best for logos with multiple colors, gradients, or illustrations. Hot-stamp Pantone foil is best for single-color logos, monograms, or where a metallic (gold, silver) or specific brand Pantone match matters. Foil adds tactile depth but has a 2.75 × 2.75 in max print area.

Can I mix quality tiers in one order?

Yes. Wedding programs commonly order airlaid for reception + 3-ply for late-night bar in a single order. More efficient than two orders — often saves on setup.

How does bulk pricing work?

Per-unit price drops significantly at volume. Every order is quoted individually because tier, print method, and artwork complexity all shift the math. See how pricing works for the full explanation.

What artwork format should I send?

Vector formats preferred: PDF, AI, EPS, SVG. High-resolution PNG works for full-color CMYK. If you have a Pantone reference for foil or brand colors, include it in your request.

How long does a first order take end-to-end?

Roughly 3 weeks total: 1 business day for quote, 1-3 days for artwork revisions and approval, 12 business days production, then US shipping (2-5 days depending on destination). Rush production shrinks the middle step to 5 business days for a surcharge.

Do you handle recurring hospitality programs?

Yes — restaurants, hotels, and brand teams reorder every 30, 60, or 90 days. Artwork and Pantone specs stay on file. Reorder quotes come back in hours instead of days.
