How many wedding napkins do you need?

A working cheat-sheet used by wedding planners to estimate quantities per moment of the weekend program. Rules of thumb — always add 10-15% buffer for spills and take-home mementos.

Cocktail hourPlan 3-4 cocktail napkins per guest for a standard 60-90 minute cocktail hour. Guests take 2-3 drinks and often grab a fresh napkin each round.
Reception dinner1 dinner napkin per guest per course. For a 4-course meal, that is 4 dinner napkins per guest — Airlaid or Doble Punto for premium tables.
Dessert & cake1-2 small dessert napkins per guest during cake cutting and dessert service. Cocktail size (3.94 x 3.94 in) works perfectly.
Late-night bar2-3 cocktail napkins per guest during a 2-3 hour after-party bar program. 2-ply or 3-ply is the pragmatic choice for volume.
Rehearsal dinner4-6 napkins per guest across cocktail hour + seated dinner + toasts. Smaller intimate quantity, worth ordering premium Airlaid for the moment.
Farewell brunch2-3 napkins per guest for a morning-after service. Doble Punto or 3-ply keeps quality high at brunch volumes.

Example: a 120-guest wedding with cocktail hour + 4-course dinner + late-night bar needs roughly 480 cocktail + 480 dinner + 360 late-night = 1,320 total napkins. Round up to 1,500 for buffer and mementos.

Which napkin material for which moment?

Not every wedding moment needs the same napkin. Match the material to the setting so the budget goes where guests notice it most.

Ceremony & seated reception

Airlaid. Linen-like premium feel. Guests touch this napkin during the most photographed and remembered moments of the weekend. Worth the price uplift on the courses that matter.

Cocktail hour & welcome party

Doble Punto or 3-ply. Premium look without airlaid pricing. Volume moment where guests take 3-4 napkins each — mid-tier material stretches budget across all guests.

Late-night bar & after-party

2-ply or 3-ply. High-volume, casual, low-touch. Practical material that still carries your monogram or wedding date — no one is inspecting quality at 1am.

Farewell brunch

Doble Punto or Airlaid. Morning service is calm and considered — guests notice quality here. Doble Punto is the sweet spot for polish without the reception price point.

Custom wedding napkin FAQ.

Quick answers for couples, wedding planners, designers, venues, and hospitality teams preparing a wedding napkin order.

Can I print a wedding monogram, date, or crest?

Yes. Wedding monograms, couple initials, dates, crests, artwork, and event designs are all printed on custom wedding napkins. Any vector (AI, EPS, PDF, SVG) or high-resolution raster (PNG, JPG) file works.

How far in advance should I order wedding napkins?

We recommend confirming artwork and approving the quote at least 6 to 8 weeks before the wedding date. Standard production is 12 business days after artwork approval and payment, plus shipping transit within the US. For destination weddings, add extra transit time.

Which sizes work best for weddings?

Cocktail napkins (folded 3.94 × 3.94 in) are standard for the cocktail hour and bar service. 10", 12", and 13" formats work for lunch and reception dinner service. 16" dinner napkins for formal seated dinners. Kangaroo pocket-fold napkins (16" open) present cutlery elegantly.

What is the minimum quantity for wedding napkins?

Our minimum is 50 units. Most weddings order between 100 and 500 units depending on guest count. Larger destination weddings and estate events can go to 1,000+ units.

How much do custom wedding napkins cost?

Pricing starts at $0.15/unit at high volume. A typical 200-unit wedding order in Airlaid with Deluxe Hot Stamp foil (gold or silver monogram) runs $250–$450 total including cliché fee and shipping. Each order is quoted individually.

Do you offer hot stamp or full color printing?

Yes. Deluxe Hot Stamp foil (37 Pantone-matched colors including metallic gold and silver) is the most upmarket finish for weddings — the linen-like Airlaid quality with gold monogram is our most popular wedding SKU. Full Color digital is available when artwork has multiple colors or photographic detail.

Do you ship to wedding venues across the US?

Yes. We ship nationwide across all 50 US states with delivery included in every quote. Popular wedding markets: New York, Los Angeles, Miami, Aspen, Dallas, Boston, Chicago, Fort Lauderdale, plus destination venues from Napa Valley to the Berkshires.

Can I get a physical sample before ordering?

Yes. We offer a $321.99 Sample Package with real printed samples of your artwork on the material you're considering — shipping included nationwide. Physical samples are especially recommended for wedding orders where the guest touch experience matters.

What is the cliché fee for hot stamp?

The cliché is the custom metal die used to press the foil. It's a one-time fee of $73.87 per unique design. If you re-order the same design in the future, the cliché is reused at no additional cost — useful for repeating annual events or corporate wedding programs.

How is pricing handled?

Every order is quoted according to material, quantity, artwork, timeline, and destination. Reply to the quote request form or WhatsApp us for a same-day quote.

What is the minimum order for wedding napkins?

50 units minimum. Most wedding orders sit between 200 and 5,000 units — cocktail hour, dinner, and dessert combined.

Can I see a paid sample of my design before the full order?

Yes. A paid sample pack includes real printed samples with your artwork across quality tiers. Quoted individually — reply for the current sample-pack details and shipping timeline.

How quickly can I get a wedding napkin quote?

We reply the same business day. Share your monogram or design idea, size, and estimated guest count — you'll get a written quote back before the end of the day.
